This Privacy Policy applies to the NOZOM Chat application and related websites operated by the business operating NOZOM Chat (“we”, “us”, “our”). It describes data collection information, data usage information, data retention information, data deletion instructions, and contact information for privacy requests.

1. Who we are

NOZOM Chat is a business customer-messaging platform that helps organizations manage conversations across connected channels, including WhatsApp Business (Meta Cloud API) and other supported integrations. This policy describes how we process information when you visit our public website, create or administer a workspace, or use the authenticated NOZOM Chat application at app.nozomchat.com.

2. Scope

This policy covers personal and business information processed by NOZOM Chat in connection with the service. Message content and customer data that your organization sends or receives through connected channels is processed on behalf of that organization (the workspace customer). Workspace administrators are responsible for their own privacy notices to end customers where required.

3. Information we collect

Depending on how the service is used, we may process:

  • Account and profile information — names, email addresses, passwords or authentication credentials, roles, and profile details for workspace users and administrators.
  • Business and workspace information — organization or company name, workspace settings, branding assets, billing or subscription metadata, and related configuration.
  • Contact information — business contacts and customer profiles stored in the workspace, such as display names, phone numbers, emails, tags, notes, and custom fields where configured.
  • Authentication and security information — login sessions, multi-factor or OTP verification data where enabled, password reset tokens, IP addresses, device or browser identifiers, and security audit signals.
  • Channel configuration information — connected channel settings, tokens or secrets stored by the platform for integrations you configure, webhook URLs, and related operational metadata.
  • WhatsApp Business and Meta integration information — WhatsApp Business Account identifiers, phone number identifiers, business portfolio or Meta app linkage metadata, template identifiers and template metadata, webhook event payloads, delivery and read status information, and related Meta/WhatsApp Cloud API fields needed to operate connected messaging.
  • Message content and attachments — message text, media, documents, and other attachments processed or stored to provide inbox, delivery, history, and support features.
  • Message metadata — sender and recipient identifiers, timestamps, conversation identifiers, channel identifiers, delivery or failure statuses, and similar operational metadata.
  • Conversation and workflow information — assignments, notes, automation or auto-reply execution records, routing state, and related support workflow data.
  • Technical logs and telemetry — application logs, request timing, error reports, and infrastructure monitoring data used to operate, secure, and troubleshoot the service.
  • Website usage information — pages viewed on the marketing website, approximate locale preferences, and cookie or local-storage values used for consent, analytics (where enabled), or basic site functionality.

4. How we use information

We use information to:

  • provide, operate, authenticate, and maintain the NOZOM Chat service;
  • deliver, synchronize, store, and display messages and conversation history for connected channels;
  • configure and operate Meta/WhatsApp and other third-party channel integrations requested by the customer;
  • provide customer support and respond to privacy or deletion requests;
  • secure the platform, prevent fraud or abuse, troubleshoot incidents, and audit access;
  • comply with legal obligations and enforce our Terms of Service;
  • improve reliability and product quality where such processing is limited to operating and securing the service.

We do not sell personal information. We do not use customer conversation content for unrelated third-party advertising.

5. Legal bases and customer roles

Where applicable privacy laws distinguish roles, the organization that owns a NOZOM Chat workspace generally determines why customer-message data is processed, and NOZOM Chat processes that data to provide the contracted service. Account holders and administrators must have a lawful basis for messaging recipients and for uploading or syncing contact data.

6. Sharing and subprocessors

We may share information with:

  • Meta Platforms and WhatsApp — as necessary to send or receive messages, manage templates, process webhooks, and operate WhatsApp Business features you connect;
  • Hosting, storage, email, monitoring, and infrastructure providers — that process data on our instructions to run the platform;
  • Professional advisors or authorities — where required by law or to protect legal rights;
  • Other service providers — only as needed to operate features the customer enables.

Because NOZOM Chat depends on Meta and WhatsApp for connected messaging, message delivery and related platform processing also occur under Meta’s and WhatsApp’s own terms and policies.

7. International processing

NOZOM Chat and its infrastructure providers may process information in more than one country. Where cross-border transfers occur, we take steps appropriate to the service architecture and contractual arrangements then in place to protect the information.

8. Retention

We retain information for as long as needed to provide the service to the relevant workspace, to comply with legal or accounting obligations, to resolve disputes, and to enforce agreements. Retention for messages, media, logs, backups, and operational records may vary by data type, workspace configuration, subscription status, legal requirements, and backup cycles. We do not state a single fixed retention period for all data categories in this policy.

When a workspace or account is deleted, associated personal data is deleted or anonymized from primary systems subject to residual backups, security logs, and legally required records.

9. Security

We apply technical and organizational safeguards appropriate to a multi-tenant business messaging platform, including access controls, encrypted transport (HTTPS), authentication controls, and operational monitoring. No method of transmission or storage is perfectly secure. Customers remain responsible for protecting their own credentials and workspace access.

NOZOM Chat processes message content to provide the service. This Privacy Policy does not claim end-to-end encryption of message content by NOZOM Chat.

10. Cookies and local storage

The authenticated application and marketing website may use cookies, local storage, or similar technologies for authentication sessions, language preference, cookie-consent choices, and optional analytics where enabled. Essential storage needed to operate login sessions may be required for the application to function.

11. Your rights and choices

Subject to applicable law, you may request access to, correction of, deletion of, or restriction of personal information we hold about you. Workspace end-users may need to contact their organization administrator first for data controlled by that workspace.

12. Children’s privacy

NOZOM Chat is intended for business use by organizations and their authorized adult users. The service is not directed to children, and we do not knowingly collect personal information from children for the purpose of offering the service to them.

13. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page will change when we do. Material updates may also be communicated through the service or by email where appropriate.
